Ella for Gmail — Privacy Policy

Ella for Gmail is an internal Chrome extension for Hoyt Design Co (HDC) staff. It shows HDC's assistant, Ella, alongside email in Gmail so staff can act on client correspondence from within the inbox. It is not offered to the public.

What the extension accesses

• Your Google account email address (via Chrome's identity API, scope userinfo.email) — used only to confirm you are an HDC team member. The extension requests no Gmail, Calendar or Drive scopes.
• Gmail thread and message identifiers for the conversation you have open — sent to HDC's own server (concierge.hoyt.co) so it can look up that conversation. The extension itself does not read, store or transmit the text of your email.
• Your settings (on/off, prefetch) — stored in Chrome's synced extension storage.

What HDC's server does with it

The server, operated by Hoyt Design Co, uses the Gmail and Calendar access each team member has separately granted in HDC's Project Intelligence system to read the open conversation, generate suggested replies, book meetings and record tasks. Suggestions and actions are logged in HDC's internal systems for audit purposes. Data is processed to provide the service and is not sold, shared with advertisers, or used for any purpose unrelated to HDC's work.

Third parties

Email content handled by HDC's server may be processed by Anthropic's API to generate suggestions, under Anthropic's commercial terms, which do not permit training on that data. No other third party receives data from this extension.

Retention and removal

Removing the extension stops all collection. Team members can revoke the extension's Google sign-in at any time from their Google Account permissions page. Questions: ryan@hoyt.co.
